Access Practice Management – Create an email template

Create reusable email templates in Access Practice Management to standardise survey invitations and other communications, including rich text, hyperlinks, images and HTML content

Create a new email template

1. Open email templates

  1. From the App launcher, select Email Templates

2. Start a new template

  1. Select New Email Template

  2. Enter a name for your template

  3. For Related entity type, select Survey Question

  4. For Folder, select Public Email Folder

3. Compose your email

  1. Enter the email content you want to use as the template

  2. Use standard text formatting tools as required


Add dynamic content and images

1. Insert merge fields

  1. Select the Merge icon

  2. Use the merge picker to insert the required merge fields

2. Add images

  1. Select Insert images, or

  2. Copy and paste an image directly into the template


Work with HTML and rich text

1. Switch to HTML view

  1. Select the Source icon to open HTML source view

  2. Add HTML code as required

  3. When adding a survey link, use the href attribute SURVEY_INVITATION_URL

2. Return to rich text

  1. Select the Source icon again to return to standard rich text editing


Add hyperlinks

1. Add a text hyperlink

  1. Highlight the text

  2. Press Ctrl + K or select the Hyperlink icon

  3. Enter the URL

  4. Select Save

2. Add an image as a hyperlink

  1. Upload an image using the Image upload icon

  2. Select the image

  3. Press Ctrl + K or select the Hyperlink icon

  4. Enter the web address and save


Add attachments and letterheads

1. Attach files

  1. Add any attachments required for the template

  2. Note that after saving, content document links convert to content asset links

2. Apply a letterhead

  1. If required, select a letterhead from the Enhanced Letterhead picklist


Save the template

1. Save your work

  1. Review the template content

  2. Select Save to finish

Your email template is now available for reuse.
