In Access Practice Management, contacts can be set up as a one-to-many relationship. This means one contact can be linked to multiple clients. Using this method means that when changing the contact person's details, e.g. email address, it will update all instances of that contact in each client. You can do this by following the steps below:
Find and select the first company you wish to add the contact to in the Clients tab.
Click on the Relationships tab.
Select the drop-down arrow on the far right in the contact list and click Edit. If the contact person appears as 'The Manager', it means the contact person has not been selected previously. If you do not see any contacts in the list, click on New and add it manually.
Change the Contact field name to match the person you wish to make as the main contact. Ensure that the Main Contact tick box is selected on the right. If Main Contact does not appear when creating a new contact relationship, then Save and close, then edit the contact again and the option should appear. Hit Save once complete.
đNote: If the person you are searching for does not exist, you will need to create them in the Contacts tab at the top of the screen.
Click on the Clients tab again and search for the second client. Repeat steps 3 and 4 so the main contact person exists in the second client.
Once complete, go to the Contacts tab at the top of the page, then find and select the contact.
Click on Linked Clients, you should now see two or more clients linked with the contact.
If you would like to add more than two clients, repeat the steps above.
